SharePoint Online: (News-) Page Content Lifecycle

With SharePoint, it is very easy to manage and govern your content. Typically, on an intranet, you find two types of information:

  • permanent content / information
  • temporary / time-based information

Permanent content includes, for example, information about the onboarding process or how to rent a business car. But don't be confused; permanent does not mean that the content never changed. Permanent means that the content is always available but can be changed in the future. On the other hand, temporary content means content that is important for a given time period. For example, the HR department can publish a message about new employees in the last or current month. This information is important, but only for a specific time. Frequently, the intranet should showcase this information on various pages, including the intranet home page.

In SharePoint, it is possible to handle all these types of information effectively. For permanent pages you can use just normal web pages, and for temporary content SharePoint offers the special page type "News". The main advantage of the "News" page lies in its ability to spread information very easily in combination with the "News" web part. The "News-" web part is able to collect "News Messages" from different locations:

  • From the current site
  • From all hub sites
  • From a selected list of sites
  • Recommended sites for users 

The "News" web part is very powerful and offers an intuitive option to show content from different sites.

Besides the distinction between permanent and temporary content, it is also important to define who can publish it. SharePoint provides a pre-built approval workflow to meet this requirement. During this process, an author can write and prepare content. After the content is ready, the author sends the page to an editor for approval. The editor can check the page and decide whether to approve or reject the content. In case the editor declines, the page goes back to the author. The author has to make some corrections before he can send the page to the editor for review again.

With this feature, it is very easy to manage and publish content on your intranet. The following illustration shows the typical content lifecycle.

To spread news messages to the user, it is possible to create a news digest (newsletter) very easily in SharePoint. You can select which news post you want to include in the newsletter. The following example shows such a SharePoint newsletter.
